  • Reservations
    • Reservations and sponsorship for an event at Southern Hills Country Club must be made by a member in good standing. The Catering department must be notified of your menu selection, the anticipated number of guests, room arrangement, linen selection and all other details three weeks prior to your event. Arrangements must be made through the Club’s Catering department. The Catering office is open 9:00 am to 5:00 pm Monday through Friday.
  • Guarantees
    • An approximate guest count is required upon booking. Confirmation of the number of guests attending must be provided to our Event Coordinator 72 hours or 3 business days prior to your event. This number may not be reduced once submitted. All charges will be based upon the guarantee or the actual number of guests attending, whichever is greater. If the guarantee is not received, you will be charged for the original number guaranteed or the actual number attending, whichever is greater.
  • Deposits
    • For all member sponsored events, a non-refundable deposit is required before the reservation can be confirmed. The deposit amount will be applied as credit towards all fees and charges connected with the event.
  • Cancellation Fees
    • Three months’ advance notice must be given to avoid a cancellation fee for reservations in the Dining Room, North Portico, Presidents Room, Wine Room, Snug Harbor and Ballroom. During the months of October through December, the cancellation deadline is 6 months prior to the event date. Also, your account will be billed for 50% of the cost of food if cancelled within 48 hours of the event, and 80% of the cost of food if cancelled within 24 hours of your event.
  • Pricing
    • Southern Hills Country Club selects and serves only the highest quality foods and will do everything possible to maintain price quotations; however, certain market conditions may warrant price adjustments. Price quotes for liquor, wine and beverages are only estimates and are based on similar past events. All charges for liquor, wine and beverages are based on actual consumption. Confirmed prices will be quoted 90 days in advance of the event. All food and beverage served are subject to 20% gratuity and sales tax of 8.517%.
  • Sponsor's Responsibilities
    • The sponsoring member must attend the party and shall be responsible for any damage or breakage and the conduct of those attending the function. Before dates or prices can be provided for non-member events, the sponsoring member must contact the Catering Office. The sponsoring member must sign and return the Sponsoring Member’s Statement before arrangements for the function can begin.
  • Publicity
    • Events conducted at Southern Hills Country Club may not be advertised or publicized to the general public through the mass media. Public seminars and political fundraisers are not permitted. No articles may be advertised or presented for sale in the Clubhouse except those certain items that will be auctioned with prior knowledge and approval from the Clubhouse Manager. 
  • IRS Form
    • The IRS requires identification of the source of funds paying for any party of more than eight people or one that has less than 75% members of Southern Hills Country Club in attendance. A form prescribed by the IRS must be completed and signed by the sponsor one week prior to your event.
  • Additional Services
    • The Catering Department will be pleased to assist you in making arrangements for floral centerpieces, decorations, ice carvings, music, entertainment, lighting, sound, photography, transportation services and staging. These services are subject to a 10% handling fee.
